Severn Mentoring provides mentoring, tuition and alternative provision services to children and young people across Gloucestershire, Herefordshire and Monmouthshire.

Not attempt to access restricted or confidential information
We reserve the right to suspend access if misuse is suspected.
3. Referral & Placement Agreements
All mentoring or alternative provision placements must be supported by a completed referral form and acceptance from Severn Mentoring.
By submitting a referral, referrers agree to:
Provide accurate and up-to-date information
Share relevant background, risk and safeguarding details
Obtain parental/carer consent where required
Inform us immediately of any changes to circumstances, risks or contact information
Severn Mentoring reserves the right to:
Decline a referral if the placement is unsuitable or unsafe
Request further information before a decision is made
Withdraw or pause a placement if safety cannot be maintained
4. Fees & Payment (For Schools, Local Authorities & Referring Organisations)
Fees must be agreed in writing prior to placement.
Invoices are typically issued monthly, unless otherwise arranged.
Payment terms are 14 or 30 days depending on the contract with the commissioning body.
Late payments may result in suspension of sessions until the account is up to date.
Any additional agreed work (reports, meetings, extended sessions) may be invoiced separately.
Parents/carers are only charged where Severn Mentoring has a direct agreement with them.
5. Cancellations & Missed Sessions
By Severn Mentoring
If Severn Mentoring needs to cancel due to staff illness or safety concerns, we will:
Provide as much notice as possible
Offer a replacement session or alternative arrangement where appropriate
By Schools / Referrers / Parents
Cancellations must be communicated with reasonable notice.
Short-notice cancellations may still be chargeable depending on the agreement.
A placement may be suspended or terminated if:
The learner repeatedly refuses to engage
Risks escalate beyond safe working practice
Information is withheld that affects safety
The commissioning body fails to meet payment terms
6. Safeguarding & Duty of Care
Safeguarding is central to our work. All staff:
Hold an Enhanced DBS
Receive safeguarding and Prevent training
Follow KCSIE, Working Together and relevant local authority protocols
We may share information without consent where there is a risk of harm, in line with safeguarding legislation.
Parents, carers and schools agree to:
Inform Severn Mentoring of any safeguarding risks
Cooperate with safeguarding procedures
Maintain open communication where concerns arise
7. Behaviour, Safety & Engagement
Severn Mentoring aims to provide a safe and supportive environment. Therefore:
Aggression, violence or abusive behaviour toward staff will not be tolerated
Sessions in community or home settings must be risk-assessed
Learners must behave safely and respectfully
Where behaviour places staff or learners at risk, sessions may be halted, reviewed or terminated.
8. Confidentiality & Data Protection
We handle all information in line with:
UK GDPR
Data Protection Act 2018
Safeguarding statutory requirements
We may share information with:
Schools
Local authorities
Social workers
Emergency services
Safeguarding partners
only where necessary and lawful.

9. Session Delivery & Locations
Sessions may take place:
At our Oxstalls base
In community settings
In schools
At home (subject to risk assessment)
Severn Mentoring determines the safest and most appropriate delivery location.
Staff may work alone with learners (1:1) in line with our Lone Working Policy.
10. Third-party links
We provide:
Regular progress updates
Attendance logs
Review reports
Safeguarding updates where needed
Schools, parents and referrers must ensure contact details remain accurate.
11. Website Content & Intellectual Property
All content on this website—including text, graphics, imagery, and branding—belongs to Severn Mentoring unless stated otherwise.
You may not:
Copy or reproduce content
Use our logo or branding without permission
Claim ownership of any material on the site
12. Limitation of Liability
Severn Mentoring is not liable for:
Losses caused by inaccurate information provided at referral
